Q: I completed an online learning module in Knowledge Link, but my record shows that it is incomplete. Why is that?

A: It could be that you are using an unsupported browser.  Browsers that are not on the University’s list of supported browsers sometimes do not interact properly with Knowledge Link, which can cause this issue to occur. Even if you are able to see the course in an unsupported browser, it does not mean your completion or test scores will be translated back to Knowledge Link. As of September 2009 the browsers the University supports are:

Firefox 3.x
Safari 4.0.x
Internet Explorer 7.0 & 8.0

Make sure you are using a supported browser when using Knowledge Link.

Question:

“Sometimes I log into Knowledge Link and find that I have been assigned required training that I didn’t know about…and sometimes it’s even past due! Is there some way Knowledge Link could notify me if I have required training?”

Answer:

In the past, if Knowledge Link users had mandatory training, they usually wouldn’t know about it until they logged into Knowledge Link. If their mandatory training deadline was coming soon or even past due, users did not find out about it unless they actively logged in.

The Knowledge Link team is working to improve that. Soon Course Owners (departments in charge of courses) will have the option to instruct Knowledge Link to send automated email reminders about any training they require users to take. 

Depending on your required training, you may shortly begin receiving emails from Knowledge Link letting you know when training has been assigned, or when it is soon due, past due, or in need of renewal.

So for example, this new feature will allow the Office of Research Compliance and Integrity (the Course Owner of HIPAA training) to have Knowledge Link automatically send you an email to inform you that you are required to take HIPAA training, or that your HIPAA training is due soon, or past due, or up for renewal.

Note: Because some Course Owners may choose to not take advantage of this feature, you will still need to log into Knowledge Link periodically to make sure there are no other required courses waiting for you. However, this new feature will be able to give you added support around keeping on top of your training needs.

It is important to know that if your email address is not listed in the online Penn Directory, you WILL NOT receive any of these notifications. According to Penn policy, you must add your Penn email address to the directory. To do so, go to http://www.upenn.edu/directories/ and click on “Update Directory Listings.”) You have the option to make your email visible only to the Penn Community if you wish. Question:

How do I print a certificate from Knowledge Link showing that I have completed a course?

Answer:

To print a certificate from Knowledge Link, follow the steps below:

1. Log into Knowledge Link
2. From the left navigation menu select Training Record
3. Choose the course
4. Click on the certificate icon to view  the certificate                                                               

5. Click on the print icon at the top of your browser to print certificate

Question:

When I log into Knowledge Link, I get a message in red that says I’m using the wrong browser. What happens if I use the wrong browser?

Answer:

Currently, the best browsers for Knowledge Link are Internet Explorer 5.5 or higher for PCs, and Safari 1.0 for MACs.

If you are accessing Knowledge Link using a different browser or a different version of these browsers, then you will get the red warning sign upon login. You will still be able to access Knowledge Link, but if you are attempting to complete a web-based course, you will need to follow the instructions below in order for your course to be marked complete:

  • MAC with Firefox 1.5.0.4 or higher
    Clicking on the “close” or “finish” button within the course window does not close the window. Instead, click on the “X” at the top of the course window to close the course. It will then be marked complete.
  • MAC with Safari 3.1.1
    Clicking on the “close” or “finish” button does not complete the assessment. Instead, click on the “X” at the top of the course window to close the course. Then go back and reopen the module so that the course will be marked complete.
  • PC with Firefox 2.0
    Clicking on the “close” or “finish” button does not close the assessment. Instead, click on the “X” at the top of the course window to close the course. The course will then be marked complete.

Note:  Not all University-supported browsers are currently supported by Knowledge Link. The Knowledge Link team is working with the vendor to enable Knowledge Link to be used more efficiently with the University supported browsers.

“I came to work extra-early and went to the opposite side of campus for a training program only to find out it had been cancelled! Why wasn’t I told about this?”

Chances are, an attempt WAS made to tell you. This attempt fails, however, when staff or faculty block access to their email address — usually without realizing the consequences.

It happens like this:

Knowledge Link (the faculty/staff training system for the SOM, UPHS, and most of the University) gets faculty/staff contact information via regular downloads from the Penn Directory.

Knowledge Link uses that contact information to send you emails regarding such things as:

  • updates that a class has been relocated, rescheduled, canceled, etc.
  • confirmations that you are enrolled in a class

A little-known fact is that if your email information is not in the Penn Directory, you will not receive these important alerts.

Another little-known fact is that you are required by Penn policy to have your Penn email address in the Penn Directory.

Why do some people decline to put their email in the Penn Directory? Privacy issues, mostly. They don’t want just anyone to be able to click on the Penn website and get their email address.

The good news is that you can still maintain your privacy while at the same time permitting Knowledge Link to retrieve your email address and complying with Penn policy. You can include your email in the system but mark it “Private” so that only people with PennKeys and Passwords can view it.

To do this:

  • Log into the Penn Directory using your PennKey and password.
  • At the top of the page click My Profile.
  • Edit your email address under My Penn Details.
  • Click on the tab at the top of this page that says Manage Public Profile and if you see your email address, click Select by the email address to bring up the deselect option.

If you don’t want your email information in the Public Profile where it can be seen by the general public, you can set your email to show only in Penn Profile where members of the Penn community must log in using PennKey and Password to view it.

This will allow you to maintain privacy but still receive the important updates that will make your life easier.

Question: I have enrolled in my course, but nothing happens.

Answer: If your training fails to open a new window successfully, then you might have a Pop-up Blocker enabled. You need to find the blocker icon on your browser and disable that functionality before you can start your training. For details on how to do this, click HERE.

“Whenever I am in Knowledge Link, I can’t see everything without scrolling horizontally. Why is this?”

Answer
If you can access Knowledge Link but fail to see everything on your screen without scrolling you will need to increase your screen resolution. (On your desktop, right click, go to “Properties,” then “Settings” and increase your resolution.)

  • Minimum: 800 x 600
  • Ideal: 1024 x 768
